The cards are arranged alphabetically by subject or entity, and list the key file numbers for the titular subject. These file numbers can then be used to find other documents using the file indexing system. For instance, the subject index card for the "Man and the Polar Regions" theme lists the project file number (3-92), the general file number (2000-605-3), three contractor names and numbers, and the construction number for the pavilion (2115-3-92). These numbers can then be used to find the detailed files from other branches and departments which record each aspect of the pavilion's development.
File numbers will often be accompanied by a more detailed breakdown of what is contained in the file, for instance, important correspondence.
