The accession consists of a comprehensive set of annual extracts of the Official Languages Information System (OLIS) data base (and of more frequent extracts for older lagacy data before 1985 which may not all prove to be readable or sufficiently documented). There are two different types of extract files - OLIS Adhoc Extract files and OLIS Permanent Extract files.

The material in this collection was extracted from a number of tapes that were transferred to LAC in 1997. The accession description indicates there were 72 9-track tapes and 24 DC 2000 data cartridges. The latter data cartridges were actually 3480 IBM data cartridges.
When the material was extracted from the 9-track tapes in 2011, not all of the tapes could be read.

Upon extraction, the accession consisted of OLIS permanent extract data files for the 1974-1987 and 1989-1995 time frames. The material for 1974-1987 was copied from 66 9-track tapes. The material for 1989-1995 was extracted from 12 IBM 3480 data cartridges.

The data associated with the OLIS adhoc extract files was copied from six 9-track tapes. Not all of the 9-track tapes associated with the adhoc collection could be read. As a result, there are data gaps for the OLIS adhoc extract data files for the period 1985-1989. Data for the 1990-1995 time frames were extracted from the IBM 3480 data cartridges. Those datasets were extracted cleanly.

OLIS profiles the federal Public Service and the incumbent population in relation to linguistic proficiencies required under the Official Language Act for the years 1974 to 1994. Data elements related to position, incumbent and geographical location allow OLIS to provide a comprehensive electronic snapshot of the federal public service in relation to linguistic proficiencies and bilingual service designations. The electronic record adds a depth and a greater level of quantitative precision to the published material which chronicles the way that the program transformed the culture of the federal bureaucracy.

Documentation arrived with the accession and has been added to the documentation associated with G000 files under accession 2005-00665-3.

The records have been processed to permanent and reside on the challenger server under partition \\n42vfiler03\Archives\Public\R776.

Historique de la conservation :

This single accession is the complete transfer of the OLIS system extracts. Not all the tapes represented archival records and some older tapes may be unreadable or insufficiently documented. The transfer in 1997 included the delayed transfer of legacy extracts covering the period 1975-1994. What prompted the transfer was the merger of the OLIS system with a job classification system (PICS). This successor system, PCIS, replaced OLIS as well as PICS and is designated archival under a pending authority (2004/007). There is no OLIS data per se after 1995 because the system ceased to function as a separate information system. The post-1995 data is found in PCIS.
