Series consists of despatches received by the Governor in Chief from the Colonial Office, as well as a few received from the British Minister at Washington or from other governors, and referred to the Executive Council for its consideration or information. Most despatches date from 1842 or later, although a few dating from as early as 1834 have been included in the series. Whether or not all despatches referred to Council have been preserved in this series has not been investigated.

Textual records (Paper) The registers found in vols. 72-93 within the State Submissions to the Executive Council series, elsewhere within this fonds, also serve to some extent as a finding aid for some of the records in the present series. The registers include indexes, but they are not complete and not particularly systematic, so should be consulted with caution. Also, it must be noted that not all despatches referred to Council were entered in the registers. The most notable exceptions are the despatches relative to the confirmation of Acts of the Legislature and of appointments to office. Registers in State Submissions to the Executive Council series. The arrangement of the despatches reflects the several registry systems within which they were numbered. Three file numbering systems are evident: for despatches from fellow governors and the British Minister at Washington; for despatches of 1846-1855 (for which see the register found in vol. 2); and for despatches recorded in the registers which are now found, elsewhere within this fonds, in the State Submissions to the Executive Council series. The order is thus chronological within several sub-series. The numeric sequences are generally coterminous with the year. Enclosures are filed under the date of the covering despatch. The order within vol. 1 was set while it was bound; it was disbound and repaired in 1981. Four despatches of 1842 were transferred to vol. 3 from the former RG 1, series E7 (now the State Submissions to the Executive Council series) in March 1983., The records in this series were at one time designated as RG 7, series G 4 (i.e., records within the Office of the Governor General of Canada fonds). They were transferred to RG 1 when they were determined to be properly a part of the Executive Council record.

The records in this series are available on microfilm. Microfilming was undertaken in 1983. Microfilmed copies are available on reels H-1403 to H-1407. For lists correlating volume numbers with microfilm reel numbers, see the finding aids cited elsewhere within this descriptive entry.

Submissions relating to state business are found in three series in this fonds. In addition to those described in the present series, see also the State Submissions to the Executive Council series and the "Put By" Submissions to the Executive Council series.

In that the documents in this series were at one time included among the records of the Office of the Governor General of Canada fonds (R-178, formerly RG7), they include cross-reference slips to the main series of despatches which are found in that fonds today (see the Despatches from the Colonial Office sub-series - formerly RG 7, series G1 - within the Correspondence with the Colonial Office series). These cross-references can be traced using finding aid MSS690, or by the rule of thumb that a reference such as "G35" equates to vol. 35 in the Despatches from the Colonial Office sub-series.

The extent to which records in the present series overlap or duplicate records now found in the Correspondence with the Colonial Office series within the Office of the Governor General of Canada fonds - in particular the Despatches from the Colonial Office sub-series (former RG 7, G1) and the Despatches from the Secretary of State for War and the Colonies sub-series (former RG 7, G2) - has not been investigated, although many of the despatches in the present series are clearly contemporary duplicates or copies.
