Sub-series consists of electronic records documenting the Senate appointment process. The sub-series is comprised primarily of emails and research documents.

The first part of this sub-series comprises a file titled "General", which shows the process of PMO Appointments staff in identifying Senate vacancies and candidates, collecting information from candidates, and making appointment recommendations to the Prime Minister. The sub-series includes the following material pertaining to candidates: letters of interest, letters of recommendation from members of caucus, CVs, biographies, portrait photographs, signed forms, and proof of sufficient property ownership in the province or territory of representation. The sub-series includes the following material pertaining to PMO Appointments staff: maps of Quebec senatorial districts, long and short lists of candidates, spreadsheets, talking points for phone calls with candidates, progress reports, one-page summaries on the candidates and their responsibilities in Senate, backgrounders, press releases announcing new appointments, and the Senate research guidelines outlining what info to collect about candidates.

The second part of this sub-series is a folder titled "Recommendations", which consists of emails and attachments recommending candidates for Senate appointments. This folder is arranged further into provincial and territorial subfolders. Many of these emails consist solely of the names of candidates that the Director of Appointments emailed to himself. Caucus members also sent recommendations and brief justifications; these emails include attached CVs, biographies and letters of interest and recommendation. Other emails from PMO staff include: summaries of vacancies and recommendations received, comments on particular candidates, comments on the field of candidates and the fulfillment of established appointment criteria and priorities, a draft briefing to the Prime Minister, and other related messages.
