The Minister's Office implemented a correspondence tracking system, in which each item, letter or memorandum was numbered consecutively and tracked in order to maintain control of the large volume of correspondence coming into or going out of the Minister's Office. Given Allan J. MacEachen's broad responsibilities for employment, training and immigration, the tracking system monitored correspondence for each of these core functions separately. Thus, in this instance, there are three sub-sets of dockets for each of these functions, the prefix "A" referring to correspondence relating to employment, the prefix "B" referring to inquiries and requests for training and the "I" prefix relating to immigration. Each docket, regardless of the prefix, is essentially the same and typically contains an original letter from an individual, company, organization or association, often, one of more form-letter tracking documents, copies of any internal documentation relating to the request, for example, demands for follow-ups, reports and analyses and finally, a copy of the out-going correspondence, which closes the individual docket.

Arrangement note:

This sub-series is one of the few in the fonds that has not required the intervention of an archivist. This sub-series was transferred to Library and Archives Canada as a discrete collection of Ministerial correspondence dockets, a record that was found in many other Ministers' offices during this period of time. There is a set of index cards that provides access to the dockets, linking the surname or the name of an organization or association to the docket number. The dockets, in effect, each a self-contained case file, are filed numerically.
