This sub-sub-series documents the activities of the Correspondence Unit of the Office of the Prime Minister of Canada, Paul Martin. The sub-sub-series consists of documents created by the employees of the Unit, namely, the manager, the writers and the administrative assistant.

The mandate of this Unit is to respond to the Prime Minister's general and priority correspondence and to prepare letters of appreciation, congratulations and condolences, as well as special messages and acknowledgements on behalf of the Prime Minister. The Unit also follows up on correspondence to be signed by Mr. or Mrs. Martin.

The documents in this sub-sub-series consist primarily of correspondence items prepared by the writers in response to correspondence received by the Office of the Prime Minister. They also include form letters, a number of scanned incoming correspondence items, memoranda, correspondence logs for signature by Mr. or Mrs. Martin, as well as administrative documents, such as mailing lists and labels. They also include e-mails and electronic documents that were located on the on the personal drive of some employees.

(Electronic) A complete list of all the digital files on the personal drives and the shared drive in this sub-sub-series and their tree structure was developed and can be used as a complementary finding aid. There is no finding aid for the emails in PST format. (99: Closed pending processing)

Arrangement note:

Both analog files are in alphabetical order.

Electronic records: the archivists maintained the original arrangement of files by employee during processing. The emails boxes and the electronic agendas (Outlook calendars) were entirely kept. No selection or reorganization was done to the PST files.
