The series consists of correspondence, notes, memoranda, speeches, grey literature, and other documents relating to Coutts's responsibilities and activities as Appointments Secretary in the Pearson PMO from the spring of 1963 to August 1966. The series documents the full range of Coutts's multi-faceted duties, including the following responsibilities (as described in contemporary PMO documents): making all arrangements for the Prime Minister in consultation with the Prime Minister and relevant members of the staff; notifying the Principal Secretary to the Prime Minister and, as required, others concerned, of the Prime Minister's engagements, so that necessary briefing material and speeches may be prepared, social and personal matters attended to, transport and travel arrangements properly made, and appropriate notification given to the press; preparing detailed travel plans and itineraries; and receiving the Prime Minister's visitors to ensure that the traffic in and out of his office flows smoothly and is under control.

The Pearson PMO series comprises the following seven sub-series: Alberta Files, Press Summaries, Press Releases, Prime Minister's Visits and Trips; 1965 Federal Election Campaign, Prime Minsiter's Speeches, Speeches by Other Politicians, and Personal.
