Part 1 of this sub-series (containers 1043 to 1050) consists of records originally classified in numerical order, with the number assigned by the CCM-DOMUS database. Each file number is affiliated with an individual, and may include one or more pieces of correspondence to which document numbers have been assigned. In processing this sub-sub-series, the archivists arranged a number of files in the same folder. Each file is separated from the others by a blank sheet of legal-size paper.
Part 2 of this sub-series (containers 1050 and 1051) consists of records originally classified in numerical order using numbers generated by the Constituent Information Management System (CS-CIMS). Each of these numbers is affiliated with a piece of correspondence from an individual. In processing this sub-sub-series the archivists arranged, in the same folder, a number of pieces of correspondence matching several of the CS-CIMS numbers. Each piece of correspondence is separated from the others by a blank sheet of legal-size paper.
A control sheet is attached to each piece of correspondence in the sub-series. In addition to information on the correspondent and the topic of correspondence, these sheets are annotated by Policy and Research Unit staff (which makes it easier to understand decisions and follow-up procedures).
Each piece of correspondence is generally presented as follows: on the top, the correspondence management sheet; followed by the reply of the Director of Policy and Research (or delegated staff member, where applicable); and lastly, the piece of correspondence, sometimes accompanied by publications, various brochures and leaflets, press clippings, posters, pins, diskettes of various formats, audio and VHS cassettes, etc.
We should note that publications already available at LAC have been removed from the sub-sub-series. Archives on electronic, visual or sound format that fall into the documentary art category have also been removed, to ensure they are properly appraised and preserved.
