The sub-series consists of correspondence files reflecting early efforts to publish a directory of oral history collections in Canada carried on by the staff of the National Archives of Canada between 1976 and 1989. In 1990 the Canadiandian Oral History Association (COHA) Treasurer was successful in obtaining a Social Sciences and Humanities Research Council of Canada (SSHRCC) grant to hire a full-time Project Co-ordinator for one year (1991) to conduct a Canada-wide survey of all institutions preserving oral history interviews. The working files of the Project Co-ordinator form the major part of this sub-series, from planning meetings with COHA executive members, in particular the project's co-supervisors Richard Lochead and James Morrison, to the design of a comprehensive questionnaire form and its distribution to 1,086 institutions, to the indexing of entries from 354 repositories, and entering standardized descriptions into electronic databases. With the assistance of other granting agencies, the association published the 400 page guide in December 1993 and it was officially launched at the National Archives in Ottawa on 27 January 1994.

Completed questionnaires have been arranged alphabetically by province/territory and by the name of the repository. Some of these files contain entire finding aids to their oral history collections. 'Guide' correspondence contains information on the status of oral history in repositories such as the existence of taped interviews in their holdings, a lack of proper cataloguing, and a hope to catalogue them in the future. Since one of the criteria for being listed in the COHA 'Guide' was that there be potential access through a public institution, such staff letters provide important information on the location of additional oral history holdings for the production of a similar research tool in the future.
